Privacy Policy
Effective date: November 4, 2026
This Privacy Policy explains how Refined Aesthetics, PLLC ("Refined Aesthetics," "we," "us") collects, uses, and protects information when you visit refinedaestheticssiouxfalls.com, book online, call or message us, or receive our texts and emails.
Your medical information
We are a HIPAA covered entity. Information in your medical record, such as health history, treatment notes, photos, lab results, and prescriptions, is handled under our Notice of Privacy Practices, available at our office or on request. That notice controls if it conflicts with this policy. We never use your health information for marketing without your written authorization.
Information we collect
Information you give us: name, phone, email, date of birth, address, appointment details, intake and consent forms, payment details, gift card recipient details, and messages you send us.
Information from your visits and purchases: services and products purchased, membership and wallet activity, and appointment history.
Treatment photos: taken for your clinical record. We do not use your photos in advertising, social media, or our website without your separate written consent, which you can withdraw at any time.
Calls and chats: recordings, transcripts, and summaries when you call or chat with us (see below).
Website information: IP address, browser and device type, pages visited, referring site, and date and time, collected through cookies and similar tools.
How we use it
To schedule, provide, and follow up on your care.
To process payments, memberships, gift cards, and orders.
To send appointment reminders, aftercare instructions, and account updates.
To send marketing messages, only if you opted in.
To answer questions, handle requests, and improve our services and website.
To meet legal, licensing, and recordkeeping duties and to protect our rights.
Calls, chats, and automated assistants
We use an automated assistant, powered by artificial intelligence, to help answer calls and website chats, book appointments, and answer common questions. You may be speaking with this assistant rather than a staff member. Calls and chats may be recorded and transcribed for scheduling, quality, and training. You can ask to speak with a staff member at any time. Please do not share detailed medical information with the automated assistant.
Who we share information with
We do not sell your personal information. We share it only as follows:
Service providers who work on our behalf under confidentiality obligations, such as our scheduling and medical records system, text and email platform, payment processor, website host, phone and chat assistant, and labs or pharmacies involved in your care.
Manufacturer loyalty programs you choose to join, such as product rewards programs.
Legal reasons: when required by law, subpoena, or court order, to protect someone's health or safety, or to defend our legal rights.
Business changes: if the practice is sold or merged, subject to this policy.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties, except the service providers who help us send texts.
Cookies and advertising tools
Our website uses cookies and similar tools to keep the site working, understand which pages are popular, and measure our advertising. Our emails may include tracking links and pixels that tell us whether an email was opened or clicked. You can block or delete cookies in your browser settings, though some features may not work. Our site does not currently respond to "Do Not Track" signals. We do not use tracking tools to send health information to advertising platforms.
Your choices
Texts: reply STOP or contact us in any reasonable way (see our SMS Terms).
Email: use the unsubscribe link in any marketing email.
Access and corrections: you may request a copy of your information or ask us to correct it. Requests for medical records follow our Notice of Privacy Practices.
Deletion: you may ask us to delete non-medical information. Medical records must be kept for periods required by law.
To make a request, contact us using the details below. We may ask you to verify your identity first.
How we protect information
We use administrative, technical, and physical safeguards, including encryption on our website and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as required by law.
How long we keep information
We keep medical records for the period required by South Dakota law and professional standards. We keep other information only as long as needed for the purposes above, then delete or de-identify it.
Children
Our website and text program are not intended for anyone under 18. We do not knowingly collect personal information online from children under 13. We treat clients under 18 only with written consent from a parent or legal guardian. The parent or guardian provides the minor's information and receives appointment communications, and may access the minor's records as permitted by HIPAA and South Dakota law. If you believe a child has given us information, contact us and we will delete it.
Links to other websites
Our site may link to other sites, such as social media or manufacturer pages. Their privacy practices are their own.
Changes to this policy
We may update this policy. We will post the new version here with a new effective date. If a change materially reduces how we protect information we already hold, we will ask for your consent before applying it to that information.
